Job Description for Administrative Assistant for Outreach & Discipleship

  • Reporting to

    • Pastor for Global Outreach, Nick Whitehead (40%)

    • Pastor for Community Outreach & Connection, Jason Vaden (25%)

    • Pastor for Discipleship, Josh Bremerman (35%)

  • Working 40 hrs/wk

Responsibilities

Specific Responsibilities for Area of Ministry:

Global Outreach: 

  • Communication and correspondence: 

    • Manage the secure Protonmail inbox and respond to global partners in a timely manner. 

    • Make sure that the Pastor for Global Outreach is aware of global partner communication that is urgent in nature.

    • Read and summarize all global partner newsletters, and update the GP praise & prayer request spreadsheet regularly. 

    • Send periodic updates to the GO Team and Rope Holder leaders 

    • Write, format, and send quarterly newsletters to global partners in coordination with the Pastor for Global Outreach. 

  • Manage Global Outreach data:  

    • Keep records up-to-date and navigable. 

    • Keep MinistryPlatform up-to-date.

  • Attend Global Outreach meetings:  

    • Weekly meetings with Pastor for Global Outreach.

    • Wednesday All-Staff Gatherings. 

    • Monthly GO Team meetings 

  • Assist Pastor for Global Outreach in:

    • Making appointments with global partners and others as needed. 

    • Notifying him of important updates from global partners in a timely manner.

  • Coordinating Global Partner Visits: 

    • Assist global partners on home assignment with practical needs. 

    • Schedule ways for global partners to connect with The North Church when they return to the Twin Cities

  • Event Coordination:

    • Planning & executing all annual Global Focus events 

    • Schedule all monthly GO Team meetings alongside Pastor for GO

    • Reserve rooms for Global Partner Spotlights or other events. 

    • Reserve rooms for other Global Outreach events in the church building.

    • Purchase food and materials for all events, ensure that classrooms are set up beforehand. 

  • Congregational Communication

    • Write up and coordinate GP of the Week’s requests/announcement with the Communications Department.

    • Plan and coordinate details for the annual Global Outreach Prayer Calendar.

    • Create, format, and send the quarterly Global Outreach Congregational Newsletter along with the Pastor for Global Outreach.

    • Assist in preparing/creating promotional materials for Global Outreach as needed. 

  • Coordinate Barnabas Support Teams:  

    • Maintain the Barnabas Support Team Rosters and communicate with leaders.

    • Collect names for Barnabas Team members from global partners as changes occur.

  • Budget:

    • Update the Global Outreach budget.

    • Keep global partner support current with the Accounting Department. 

    • Assist the Pastor for Global Outreach in preparing the annual budget. 

Community Outreach & Connection:

  • See that all administrative needs for Community Outreach and Connection Team Ministries are met.

  • Complete check requests and reimbursement forms.

  • Assist the Pastor for Community Outreach & Connection with communication 

  • Assist the Pastor for Community Outreach & Connection with projects: attend meetings, do research, craft and administer surveys, brainstorming, or preface work.

  • Support Community Outreach & Connection Team Coordinators.

  • Order supplies and store them appropriately.

    • Restock tracts and materials throughout the church building 

    • Replenish resources for walk-ins when needed 

  • Assist with events by providing tactical plan oversight, scheduling, invitations, coordination of event information to those necessary, and promotion of those events with posters and other avenues as needed.  

  • Coordinate and facilitate annual ministry involvements with partner organizations such as the Coat Drive, Baby Bottle Drive, and the March for Life 

  • Discover The North Church Class:

    • Ensure the class has a weekly teaching leader and update/send out all invites through Planning Center 

    • Track all attendance, completions of the class, restock class supplies, and promote assimilation through the class.

  • Send all visitors a welcome letter 

  • Attend meetings 

    • Weekly with Pastor for Community Outreach & Connection 

    • Wednesday All-Staff Gatherings. 

    • Other meetings as needed

  • Budget:

    • Update the Community Outreach & Connection budget.

    • Assist the Pastor for COC in preparing the annual budget. 

Discipleship:

  • Assist with correspondence of the Pastor for Discipleship.

    • Help draft and format the Pastor for Discipleship’s monthly newsletter to Small Group Leaders 

  • Assist all Small Group ministry elements 

    • Plan for and coordinate Small Group leader events throughout the year (trainings, orientations, appreciations, etc.)

    • Communicate with Small Group leaders as needed.

    • Assist the congregation in finding available Small Groups when needed

    • Help keep the database up to date on Small Group details, attendance, etc.

  • Facilitate all elements of baptism and membership 

    • Set up baptism/membership class events in MP, prepare materials and set up classrooms beforehand

    • Track all individuals through the baptism and/or membership process, facilitate all communication in scheduling elder interviews for baptism and membership, update database when individuals move forward towards baptism and membership 

    • Set up for and coordinate all Sunday baptism services and Sunday Covenant Affirmation services 

  • Support Adult Sunday school classes and the Adult classes component of Wednesday Connection when needed 

  • Attend meetings 

    • Weekly with Pastor for Discipleship 

    • Wednesday All-Staff Gatherings. 

    • Other meetings as needed

  • Budget:

    • Update the Discipleship budget.

    • Assist the Pastor for Discipleship in preparing the annual budget. 

General Duties:

  1. Perform administrative assistant tasks, including but not limited to:

    1. Correspondence–email/phone/letter

    2. Database management 

    3. Research projects

    4. Organization

    5. Preparing/creating promotional materials as needed

    6. Running errands as necessary

    7. Categorizing and submitting all purchases made 

    8. Encouraging and assisting congregational members in particular area of responsibility

  2. Use and support accuracy in the church database and website, as needed.

  3. Participate in staff meetings required for this position.

  4. Cross-train with other support staff as needed.

  5. Answer phone and door in absence of Receptionist and any other duties as requested by the Director for Human Resources.

Other Duties:

  1. The Administrative Assistant will carry out such other duties as may be assigned by the church from time to time. 

Role Description

In dependence on God, the aim of all Administrative Assistant positions at The North Church is to wholeheartedly glorify Jesus Christ, seeking to spread a passion for the supremacy of God in all things for the joy of all peoples through Jesus Christ by providing administrative support to their specific area of ministry, and general support to the needs of the church office. Administrative Assistants shall maintain a Christian spirit of love and service toward the staff, congregation, and those we serve, in accordance with the church’s vision and philosophy of ministry.

Godly Character

  1. Seek to sustain a vital, growing relationship with the Lord through personal and corporate worship, study of God’s Word, prayer, and regular, ongoing fellowship with believers at The North Church.

  3. Church Member
